We are now looking for a secure and structured board secretary for a consulting assignment at the Swedish Society for Nature Conservation in Stockholm!
Have you previously worked as a board secretary, management assistant, meeting coordinator, or in a role responsible for minutes and decision support at the management level? The Swedish Society for Nature Conservation in Stockholm is seeking an experienced board secretary for a consulting assignment of five months, starting no later than early February. Here you will have the chance to work closely with the management in a non-profit and socially engaged organization. The role is central to ensuring structure, quality, and clarity in the board's work. You will work closely with the chairperson and the head of administration, contributing to creating order and security in the entire board process. A meaningful assignment for you with a sense for details, integrity, and strong administrative skills.

Your tasks
As a board secretary, you are responsible for coordinating and documenting the board's work in a secure and professional manner. The assignment includes:
- Coordinating board meetings including notices, agendas, and materials
- Taking minutes and handling follow-up work and archiving
- Documenting presidium decisions and capsulam decisions
- Coordinating communication between the national office and the board
- Booking venues, hotels, and meals for the board's retreats and national conference
- Taking notes at presidium meetings and supporting the head of administration in preparation work
- Managing the chairperson's calendar and emails
Worth knowing
This is a consulting assignment for five months starting no later than early February. The work takes place on-site at the Swedish Society for Nature Conservation in Stockholm. You will collaborate closely with the head of administration and the chairperson and be a key person in the board process. Some meetings will take place in the evening or at other locations, which requires some flexibility.
Our expectations
We are looking for someone with experience in qualified secretarial or board work, preferably within the non-profit or public sector. You have a very good ability to structure and summarize information and handle confidential matters with high integrity. You express yourself well in both Swedish and English and are familiar with the Office package. We believe you need to have experience with member-based organizations, board processes, and environmental issues. As a person, you are meticulous, solution-oriented, and secure in your professional role.
